CycleQuest China — the trading name of Guangxi Qiyi Culture Tourism Development Co., Ltd. — organises cycling tours and premium bike rentals across China, with operational bases in Beijing, Guilin, Yangshuo, Chengdu, Dali and Wuhan. We are the data controller for the information collected through this website and through our booking process. This policy explains what we collect, why, where it is stored, how long we keep it, and the rights you have over it.
Information We Collect
We collect two distinct streams of information.
Device information is gathered automatically as you browse: cookies, IP address, browser type and page-interaction data. We use it to keep the site performing correctly and to protect it against abuse.
Personal information is what you give us deliberately during an enquiry or booking: your name, date of birth, nationality, sex, height, residential address and contact details — including the WhatsApp number we use for real-time trip coordination — together with details of the tour or rental you are asking about, an emergency contact, and the signature you draw when you accept a rental agreement.
Passport Details and Why We Ask for Them
At the booking stage — never in an initial enquiry — we ask for your passport number and a clear photo of your passport photo page. This is a requirement of the Chinese insurers who underwrite the personal accident cover included with your ride: RMB 500,000 for bike rentals and RMB 1,000,000 for guided tours. They will not issue a policy to an international traveller without it. The same details also support accommodation registration and rental agreements where local rules require them. If you never reach the booking stage, we never ask.
To reduce typing errors, we may use automated text recognition to read the machine-readable zone printed at the bottom of your passport page. This runs inside our own cloud infrastructure; your passport image is not sent to any third-party recognition service. The result is only used to check the details you typed, and any mismatch is reviewed by a member of our staff. No booking, pricing or insurance decision is made by automated means.
How Forms Are Processed
Our booking, request and review forms run on our own systems. What you enter is transmitted directly to us over an encrypted connection and stored in our own databases; no third-party form service sees it. Submissions made through JotForm before September 2026 have been transferred into our own systems and are covered by this policy.
How We Use Your Information
We use the information you provide to:
- Respond to your enquiry and communicate with you about your request.
- Plan, confirm, and deliver your tour or bike rental.
- Arrange logistics such as bike delivery, guides, and accommodation.
- Issue your personal accident insurance policy and any rental agreement you sign.
- Keep the website secure and understand, in aggregate, how it is used.
We do not sell your personal information, and we do not use it for third-party advertising.
Payments
We do not collect card or bank details through this website. Where you pay by Alipay or WeChat Pay, you may be asked to upload a payment confirmation screenshot so we can match your payment to your booking. Payment confirmations are kept with our accounting records and are never shared with other guests or published.
Cookies
Required cookies keep the site functioning and secure and are set without asking, because the site cannot be delivered without them. Optional cookies — used only for statistics and marketing — are set only where you allow them. This website sets no advertising cookies of its own.
Embedded YouTube Content
Some pages embed route previews and videos hosted on YouTube. When you view or play an embedded video, YouTube (Google) may collect information about your visit and set its own cookies, subject to Google's privacy policy. If you do not interact with the videos, this data collection is limited.
Where Your Data Is Stored and How It Is Protected
Our website, booking records and uploaded documents are held on infrastructure operated for us by Cloudflare and PlanetScale, on servers that may be located in the United States, so your information may be transferred outside both your own country and China. Wherever it is stored, the service agreement between you and CycleQuest China remains governed by the law applying to Guangxi Qiyi Culture Tourism Development Co., Ltd.
All data is encrypted in transit and at rest. Passport photos and signatures are kept in private storage that has no public address: they can only be opened by authorised staff through our own management system, and access is limited by role. Passport images are not included in the agreement PDF or in any email we send, and are never returned to the browser through a shareable link. No transmission over the internet or over a wireless network can be guaranteed to be completely secure, and you send information to us on that understanding.
Data Retention and Automatic Deletion
We keep personal information only for as long as it is needed to deliver your tour or rental, to service the insurance policy issued for it, to meet our legal and accounting obligations, and to handle any follow-up.
- Passport photos are deleted automatically. If you start a booking but do not complete it, the upload is deleted within seven days. If the booking goes ahead, the image is deleted 90 days after the last day of your rental or tour. Deletion is carried out by a scheduled process, not by hand, and the fact that a file existed and was deleted is recorded for audit.
- Signed rental agreements, including your signature, are kept for as long as the law and our insurer require us to hold the contract.
- Booking details such as your name, contact details and the passport number used to issue your insurance are kept with the booking record so that a claim can be handled, and are removed on request once no legal or contractual obligation requires us to keep them.
Requesting Deletion of Your Data
You can ask us at any time to delete the personal information we hold about you, or to tell you what we hold. Email info@cyclequestchina.com with the subject line “Data request” and the name and email address you booked with. We will confirm receipt and act on your request within 30 days. Where we must keep a record — for example a signed rental agreement while its insurance policy is still active, or a payment record for accounting — we will tell you what is retained and why, and delete everything else.
Your Rights
We honour the eight rights set out in the General Data Protection Regulation (GDPR) for every guest, whether or not the regulation applies where you live:
- Right to be informed — to know what we collect and what we do with it. That is what this page is for.
- Right of access — to request a copy of the personal information we hold about you.
- Right to rectification — to have inaccurate details corrected.
- Right to erasure — to have your data deleted, where no legal or contractual obligation requires us to keep it.
- Right to restrict processing — to have us limit what we do with your data while a question about it is resolved.
- Right to data portability — to receive your data in a form you can take elsewhere.
- Right to object — to challenge a particular use of your data.
- Rights related to automated decision-making and profiling — we make no booking, pricing, insurance or safety decisions by automated means. Automated text recognition is used only to check details you have typed, and any difference is reviewed by a person.
